Workforce Documentation Governance

Workforce documentation governance for care and childcare providers

A managed service that keeps records current, gaps visible, and evidence easier to locate on a defined 30-day cycle.

Not software you manage. A managed compliance support service that runs the governance cycle, flags documentation gaps as they arise, and delivers a structured monthly summary — so when an inspector walks in, you hand them the evidence, not the folders.

Built and run by a team focused on workforce documentation for regulated care and childcare settings.

The Challenge

When compliance records live in too many places, things get missed

References, DBS records, training updates, policy review dates, staff file checks, and inspection evidence are often spread across folders, spreadsheets, inboxes, and paper files.

That makes it harder to keep everything current and much harder to pull together quickly when needed.

We help bring structure, visibility, and consistency to the records and processes behind the service.

Recruitment records not consistently documented across staff files
DBS monitoring logs scattered or not maintained
Training expiry dates missed or tracked informally
Inspection evidence hard to locate quickly under pressure
Admin gaps only noticed when something is urgent

The Process

How it works

Step 01

30-Day Compliance Trial

The first real governance cycle. We review your current records, build a structured workforce compliance register, track training and DBS monitoring, flag issues as they arise, and deliver a dated Monthly Governance Summary at the end of the cycle. £500. No ongoing commitment.

Step 02

Reset — where needed

For providers whose records need significant cleanup before entering the governance cycle. A one-off piece of work that builds a structured baseline. From £2,500. Not the default starting point — only where records cannot go straight into the Trial.

Step 03

Monthly Support

Ongoing workforce documentation governance on a 30-day cycle. Records reviewed, gaps flagged during the cycle as they arise, and a Monthly Governance Summary delivered at the end of each month. Light £295/mo · Core £495/mo · Higher-Touch from £795/mo.

What clients need most

Staff file reviews

A clear check of what each staff file contains, what is missing, and what needs updating.

Recruitment record checks

Reviewing safer recruitment checks against regulatory requirements and flagging gaps.

DBS and training tracking

Keeping DBS monitoring logs and training expiry dates maintained and visible.

Policy review calendars

Scheduled review dates tracked and surfaced before policies fall overdue.

Monthly action logs

A clear record of what has been done, what is outstanding, and what needs attention.

Inspection-readiness support

Organised evidence folders and a clearer picture of the records inspectors may ask to see.

Start with the right support for your sector

Most providers start with the 30-Day Compliance Trial — one full governance cycle, full output, no ongoing commitment. If records need significant cleanup first, a Reset gets everything into order before the Trial begins.
